Main Job Functions:
¨ Coordinate, support and administrate Parts / Service functions and activities consistent with providing superior technical assistance and service to our customers.
¨ This position reports to the President.
Duties and Responsibilities:
1. Answer and address customer calls. If necessary, direct calls to appropriate personnel.
2. Provide attentive, friendly, helpful and effective service and maintain a consistent professional demeanor.
3. Prepare and write correspondence (letters, faxes, etc.) consistent with completing parts projects and orders, including spare parts quotes, order acknowledgments, packing lists, and shipping documents for Parts-related business, including assisting sales/shipping department personnel when necessary.
4. Work and consult with Service Technicians for service coordination and confirmation. Schedule, organize and coordinate service calls between Service Technicians and customers. Arrange flights, hotels, etc. when travel is required.
5. Process parts orders to complete service calls.
6. Maintain Parts / Service database and prepare weekly departmental reports. Assist in the development of annual Parts / Service budget.
7. Adhere to and implement the ISO QMS and participate in the Process of Ongoing Improvement. Identify policies and procedures to help improve the operations of the Parts / Service Department and the Company.
8. Adhere to and follow Company policies and safety regulations, and practice and encourage safe work practices.
9. Assist Sales and Marketing Department personnel. Train and assist other employees in the Company and work in other departments to support other functions as required.
Qualifications:
¨ Strong organizational skills, professional conduct and positive attitude required. Must be able to work effectively with and support others.
¨ Ability to understand basic engineering drawings and learn technical components
¨ Basic computer skills and knowledge of Microsoft Word and Excel computer programs required.
¨ Bilingual. English / Spanish preferred.
